Who this is for

Agencies, creative and development studios, architecture firms and engineering consultancies. Your services, project dependencies, document versions and client agreements shape how the system works.

Marketing & advertising agencies

You deliver campaigns, coordinating materials, channels, contractors and client reporting.

Where your rules matter
  • A campaign may involve several brands, channels and approvers; each material needs approval of the right version before release.
  • A budget or brief change affects the media plan, contractors and team tasks, with the new obligations connected to the decision.
  • Client reports draw on different advertising and analytics systems and need a link to the agreed goals and agency work.

Design & branding studios

You develop visual identities and designs, agree versions and hand over materials for different uses.

Where your rules matter
  • Briefs, design options and client comments change together; each decision belongs to a specific version and agreed deliverable set.
  • Iteration limits and deliverables follow the contract. A correction needs to be distinguished from a new direction or extra format.
  • Final delivery includes files for several channels and participants, checked against the requirements of that project.

Architecture firms

You develop architectural designs and documentation and coordinate approvals and questions during construction.

Where your rules matter
  • A layout change affects drawings and related disciplines; participants need the current revision of each affected document.
  • Customers, consultants and other participants have different approvals, with a clear view of whose decision holds up the release.
  • Site questions and design supervision can reopen work; requests, decisions and revised documents need a link to the relevant building area.

Engineering & design consultancies

You prepare engineering and design packages, coordinating source data, dependent disciplines and document releases.

Where your rules matter
  • A change to a customer input may affect several disciplines and should reach the people responsible for each one.
  • Reviews and signatures need to follow your firm's method and the exact contents and revision of the package being released.
  • Customer comments belong to particular documents and revisions, with confirmation that accepted changes appear in the right release.

Software & web development studios

You build websites and software for clients, agreeing requirements, releases and changes after launch.

Where your rules matter
  • A request passes through clarification, estimation, delivery and acceptance, connecting the decisions to the tools your team uses.
  • New requests can change agreed scope; estimates and approvals help distinguish defect correction from a paid change.
  • After launch, access, maintenance and ongoing changes need a clear link to each client project, version and agreement.

Video & production studios

You organise filming and post-production and agree scripts, edit versions and final delivery formats.

Where your rules matter
  • A script change affects the shoot plan, locations, people and budget; the approved decision needs to reach everyone affected.
  • Comments may refer to different cuts and moments, requiring a clear link to the exact version and its approval.
  • Handover includes formats, languages and materials for different platforms, checked against the agreed delivery list.

Built around how you work

Your rules for scope and dependencies

Define deliverables, stages, iteration limits and the inputs needed from each participant. A changed brief or engineering parameter can identify the work and people affected.

Your rules for versions and approval

Agree who reviews a version and who can approve release. Keep client comments and site questions attached to the relevant document, revision, fragment or building area.

Your rules for extra work and handover

Decide how a new deliverable or additional revision is assessed and authorised before work starts. Update instructions, dates and the final delivery checklist from the agreed decision.

Your rules for payments

Set deposits, retainers, milestone invoices and settlement after acceptance. We can add payment collection, reminders and tracking, with approved additions connected to the relevant scope and billing record.

Your project, design, CAD/BIM, development and file tools can remain part of the plan, alongside CRM, time records and accounting. We check available interfaces and agree how versions, decisions and delivery records should connect.

From workflow to working software

  1. Start with work your team knows

Tell us how a request moves through your business today, where people have to chase information and what happens when the plan changes. We help turn that into a clear brief. You do not need a technical specification.

  2. Agree a useful first version

Together, we define a complete workflow, the people involved, the rules and exceptions, and the result it needs to deliver. We agree how to measure improvement, such as time from a comment to an approved version, rework caused by outdated inputs, and time from acceptance to invoice preparation.

  3. Review a prototype

Walk through a prototype using examples from your daily work. Check the normal case, missing inputs, changes and customer decisions, so the system reflects the situations your team actually handles.

  4. Launch and keep it running

We build, test and launch the agreed system, then provide the agreed ongoing maintenance and support. Data setup, connections to existing tools and the move into daily use are part of the launch plan.

  5. Change it as your business changes

New services, agreements, approval rules or ways of working can become agreed updates to the system. We clarify the change, assess its effect and agree the scope and price before adding new functionality.

Your brand. A direct connection.

Bring your business closer to your customers

Give clients a direct connection to your team and their projects. almops can build a branded app or portal for requests, project updates and approvals.

Your own customer app

Let clients use an app with your name and branding to submit a brief, ask a question and receive project updates, keeping the request connected to the agreed scope.

A customer portal under your brand

Provide a web workspace for deliverables, exact versions, client comments and approvals. Customers can see the decisions they need to make and the accepted material ready for handover.

Questions

Do we have to replace our project, design or engineering tools?

We can build the coordination around your existing tools. During discovery we check their interfaces and data access, then agree how briefs, files, versions and approval records can be connected.

When does a system built around our business make sense?

It can help when your scope changes, cross-discipline dependencies, version approvals or delivery obligations repeatedly need manual coordination outside your current tools. We review a real project with you and consider ready-made options first.

Do we need a technical specification or a complete replacement system?

You can start by describing one process and showing us how it works today. We ask questions and help define the requirements. A first version can cover one complete workflow, with further additions agreed separately.

Who looks after the system after launch?

AlmOps handles the agreed maintenance and support, and helps develop the system as your requirements change. Your proposal defines the service included and how later changes are handled.

Where is the system hosted and can we use our own server?

Hosting with AlmOps is the default. Deployment on your own infrastructure can be scoped as an additional paid option. We discuss data access, exports and operational requirements while defining the system.

How is pricing handled?

The aim is a predictable monthly payment for an agreed system and service. Your proposal sets out the amount, payment period, hosting, support and any initial charges. Later additions are scoped and priced separately.

Could we run and maintain our version independently later?

You can obtain non-exclusive rights to keep using and changing the paid-for version for your own business after the agreed main payment period or a one-off payment. The handover covers source code, a data export, operating instructions and the rights needed to run the software independently. Licence, handover, hosting and support terms are agreed in your contract.
