Who this is for

Accounting, payroll, legal and corporate administration businesses. A client may have several companies, different services and separate people authorised to provide or approve information.

Accounting & bookkeeping firms

You maintain client accounts, collect documents and organise the preparation and internal review of recurring results.

Where your rules matter
  • Each client has its own closing calendar and document requirements; missing inputs need an owner and a link to the affected result.
  • A correction after review can change the prepared pack. Document versions, comments and client confirmation need to stay tied to the period.
  • A client may use several accounting systems and legal entities. A portal can coordinate inputs and status around those tools.

Payroll & HR service providers

You collect staff and time data and organise payroll preparation and HR administration for clients.

Where your rules matter
  • Hours, leave and staff changes arrive in different formats, with checks needed before data enters the payroll system.
  • A correction after approval requires another review of the affected results, while preserving the input version and responsible person's decision.
  • HR staff, managers and accountants need different access and approval rights by company and document type.

Law firms

You manage client matters and instructions, prepare materials and coordinate review and approval of legal work.

Where your rules matter
  • Different kinds of matters have their own stages and internal checks, linking instructions, deadlines and document versions to the matter.
  • Lawyers, partners and clients need different access to confidential material and approval decisions.
  • Hourly work, fixed scope and agreed additions may coexist; instructions and accepted changes need to support the client report.

Corporate service providers

You manage company administration for clients, coordinating changes and the related document sets.

Where your rules matter
  • One client may have several companies with different contacts and calendars; obligations belong to the specific entity and service.
  • A change of director, address or ownership affects several document packs and outside participants, with dependencies between the actions.
  • Clients and partners have different authority to request or confirm changes, requiring clear access and approval rules.

Built around how you work

Your rules for complete client inputs

Define the documents, data and deadlines required for each company, service, period or matter. Give missing information an owner and keep it connected to the work it holds up.

Your rules for access and authority

Agree who may see a document, request a change or approve a result. Separate access by client company, service, matter and role where needed.

Your rules for review and versions

Set internal checks before a result goes to the client. A change to reviewed inputs can reopen the affected tasks and approval, keeping the previous version and decision history.

Your rules for payments

Set recurring fees, retainers, staged payments or charges for an agreed addition. We can add payment collection, reminders and tracking, keeping each charge linked to the company, service and approved work.

Your accounting, payroll, HR, CRM and document tools can remain part of the plan. We assess how inputs, reviewed records and client decisions can connect. Specialist calculations and professional decisions remain with the tools and people responsible for them.

From workflow to working software

  1. Start with work your team knows

Tell us how a request moves through your business today, where people have to chase information and what happens when the plan changes. We help turn that into a clear brief. You do not need a technical specification.

  2. Agree a useful first version

Together, we define a complete workflow, the people involved, the rules and exceptions, and the result it needs to deliver. We agree how to measure improvement, such as time collecting complete inputs, the review and approval cycle, and effort spent serving each client.

  3. Review a prototype

Walk through a prototype using examples from your daily work. Check the normal case, missing inputs, changes and customer decisions, so the system reflects the situations your team actually handles.

  4. Launch and keep it running

We build, test and launch the agreed system, then provide the agreed ongoing maintenance and support. Data setup, connections to existing tools and the move into daily use are part of the launch plan.

  5. Change it as your business changes

New services, agreements, approval rules or ways of working can become agreed updates to the system. We clarify the change, assess its effect and agree the scope and price before adding new functionality.

Questions

Can we keep our accounting, payroll and document tools?

We can scope the new workflow around your specialist systems. During discovery we check available data access and interfaces, then agree how document collection, review and client approval will connect to them.

When does a system built around our business make sense?

It can help when different client companies, service calendars, document permissions and approval routes lead to repeated manual coordination. We review that work with you and consider a ready-made product if it meets the need well.

Do we need a technical specification or a complete replacement system?

You can start by describing one process and showing us how it works today. We ask questions and help define the requirements. A first version can cover one complete workflow, with further additions agreed separately.

Who looks after the system after launch?

AlmOps handles the agreed maintenance and support, and helps develop the system as your requirements change. Your proposal defines the service included and how later changes are handled.

Where is the system hosted and can we use our own server?

Hosting with AlmOps is the default. Deployment on your own infrastructure can be scoped as an additional paid option. We discuss data access, exports and operational requirements while defining the system.

How is pricing handled?

The aim is a predictable monthly payment for an agreed system and service. Your proposal sets out the amount, payment period, hosting, support and any initial charges. Later additions are scoped and priced separately.

Could we run and maintain our version independently later?

You can obtain non-exclusive rights to keep using and changing the paid-for version for your own business after the agreed main payment period or a one-off payment. The handover covers source code, a data export, operating instructions and the rights needed to run the software independently. Licence, handover, hosting and support terms are agreed in your contract.
