Who this is for

Recruitment and executive search firms, temporary and contract staffing businesses, and industrial or hospitality staffing providers. Permanent placements and temporary assignments can follow their own processes.

Recruitment agencies

You recruit for employer vacancies, coordinating candidate introductions, feedback and confirmed starts.

Where your rules matter
  • Each employer has different stages, criteria and decision makers. The agreed process needs to keep selection and hiring decisions with people.
  • A changed vacancy affects candidates already introduced; requirements, feedback and the client's next decision need a shared history.
  • A start, withdrawal or reopened request affects the agency's obligations under the original recruitment agreement.

Temporary staffing agencies

You supply people for temporary shifts and coordinate assignments, replacements and confirmation of work done.

Where your rules matter
  • Each client sets shift, document and access requirements, so readiness belongs to the person and the specific workplace.
  • A missed start needs a replacement confirmed by the client, while retaining the original shift history.
  • Different managers approve hours. Corrections and disputes need an agreed decision before data goes to the payroll or billing system.

Contract staffing providers

You assign specialists to client projects and coordinate assignment dates, extensions, capacity and handovers.

Where your rules matter
  • A project assignment has stages, dates and extension conditions; a change affects documents and agreements between several parties.
  • Capacity may be shared across projects and roles, with your own rules for approving assignments and confirming time.
  • Replacing a specialist requires a handover of knowledge, access and unfinished work before the previous assignment closes.

Industrial staffing providers

You staff production and warehouse shifts and coordinate worker readiness and attendance at each site.

Where your rules matter
  • Requests are defined by work area, shift and task, with the required preparation and access checked before assignment.
  • Group attendance depends on transport, coordinators and site entry. A changed shift can affect all those arrangements.
  • Hours and discrepancies arrive from different supervisors and site systems and need a client-approved reconciliation.

Hospitality staffing providers

You supply people to hotels, restaurants and events and coordinate roles, starts and work at each venue.

Where your rules matter
  • Each assignment has its own role, uniform, meeting point and venue instructions, which need to stay current for the worker.
  • Guest numbers and event times can change; updated requests need a link to worker availability and customer confirmation.
  • Coordinators record starts and hours at several venues, with replacements and delays included in the agreed event record.

Built around how you work

Your rules for employer requests

Define requirements, stages and customer decision makers for each request. Keep permanent recruitment and temporary assignments distinct where their documents, outcomes and obligations differ.

Your rules for a ready start

Agree the documents, preparation, access and confirmations needed before a start. Set how a missed start or replacement is handled, keeping it connected to the original request.

Your rules for results and hours

Decide who confirms a placement or assignment outcome. For staffing, set time approval and dispute routes before records reach payroll or billing. Selection and hiring decisions stay with people.

Your rules for payments

Set placement fees, retainers or charges for approved staffing work. We can add payment collection and reminders, linking amounts due to the agreed outcome, confirmed hours and replacement terms.

Your ATS, CRM, candidate records, time systems and payroll tools can remain part of the plan. We assess data access, privacy requirements and interfaces before agreeing the exchange of requests, documents and confirmed results.

From workflow to working software

  1. Start with work your team knows

Tell us how a request moves through your business today, where people have to chase information and what happens when the plan changes. We help turn that into a clear brief. You do not need a technical specification.

  2. Agree a useful first version

Together, we define a complete workflow, the people involved, the rules and exceptions, and the result it needs to deliver. We agree how to measure improvement, such as time from a request to a confirmed start, time arranging an agreed replacement, and time confirming outcomes or hours.

  3. Review a prototype

Walk through a prototype using examples from your daily work. Check the normal case, missing inputs, changes and customer decisions, so the system reflects the situations your team actually handles.

  4. Launch and keep it running

We build, test and launch the agreed system, then provide the agreed ongoing maintenance and support. Data setup, connections to existing tools and the move into daily use are part of the launch plan.

  5. Change it as your business changes

New services, agreements, approval rules or ways of working can become agreed updates to the system. We clarify the change, assess its effect and agree the scope and price before adding new functionality.

Your brand. A direct connection.

Bring your business closer to your customers

Give employers and workers a direct way to stay in touch with your business. almops can build a branded app or customer portal connected to your coordination process.

Your own customer app

Offer an app under your brand for assignment information, document requests and start confirmations. Access can distinguish the employer, candidate, worker and coordinator.

A customer portal under your brand

Let employer contacts submit requests, review status and confirm assignment outcomes or hours through a web portal, with their own people and approval responsibilities.

Questions

Can we keep our ATS, CRM and payroll tools?

We can scope the workflow around the systems you already use. During discovery we check their data access, integration options and privacy constraints, then agree which requests, records and approved results should connect.

When does a system built around our business make sense?

It can help when employer-specific requirements, document readiness, replacements and confirmation of hours create repeated coordination outside your existing tools. We review that work with you and consider ready-made options before proposing a new system.

Do we need a technical specification or a complete replacement system?

You can start by describing one process and showing us how it works today. We ask questions and help define the requirements. A first version can cover one complete workflow, with further additions agreed separately.

Who looks after the system after launch?

AlmOps handles the agreed maintenance and support, and helps develop the system as your requirements change. Your proposal defines the service included and how later changes are handled.

Where is the system hosted and can we use our own server?

Hosting with AlmOps is the default. Deployment on your own infrastructure can be scoped as an additional paid option. We discuss data access, exports and operational requirements while defining the system.

How is pricing handled?

The aim is a predictable monthly payment for an agreed system and service. Your proposal sets out the amount, payment period, hosting, support and any initial charges. Later additions are scoped and priced separately.

Could we run and maintain our version independently later?

You can obtain non-exclusive rights to keep using and changing the paid-for version for your own business after the agreed main payment period or a one-off payment. The handover covers source code, a data export, operating instructions and the rights needed to run the software independently. Licence, handover, hosting and support terms are agreed in your contract.
